We’re seeking an Administrative Assistant, based in our Quezon City office. In this role, you will perform secretarial and administrative duties for our internal Western Union employees across different levels. Your will perform duties including Reception, Office Administration, Operational Assistance, Employee Engagement and Satisfaction, and other secretarial and administrative tasks as required by the business.

  • Answer and screen phone calls both from external clients and internal Western Union employees
  • Welcome and provide administrative support to Global visitors and liaise with building management and security representatives for building passes
  • Process outgoing and incoming mails or packages, and forward email correspondences and faxes in support of office operations
  • Prepare correspondences and update functional team phone listings
  • Provide administrative support to Managers including diary management, filing and maintaining records, and generation of information for presentations and mandatory business reports
  • Arrange Visa and Air Tickets for travelling internal employees
  • Monitor, secure and procure office supplies
  • Liaise with government agencies in support of employee concerns
  • Maintain cleanliness and tidiness within the office
  • Track corporate billings from mobile phone provider and process payment requests for entity 3808
  • Prepare and send weekly and monthly mandated reports including Ecozone Performance, Purchase Order (PO) Matching, and Monthly Call Center Charges
  • Support in leading, coordinating, and organizing employee events, which may include local offsite travels and ocular
  • Generate layout for company newsletter and other official printing materials

What you will need to succeed

  • Bachelor’s degree in Business Administration, OR degree holder with relevant work experience
  • At least one year of strong Office Administration work experience
  • Above average written and verbal English communication skills
  • Ability to communicate with employees across different levels
  • Strong customer service mindset
  • Pleasing personality and positive attitude
  • Ability to work in a fast - paced environment performing with minimal supervision
  • Willing to travel and perform ocular visits
  • Flexible to working on shifting schedules
